Offline budget processing workflow

Context

Not every workflow belongs in the cloud.

The client needed a faster way to process budget information, but the process involved sensitive files, strict permissions, and existing working habits the team did not want to break.

Problem

The team needed speed without losing control.

A standard cloud-based automation would have introduced the wrong kind of risk. The workflow had to respect existing permissions, avoid unnecessary vendor exposure, and keep leadership control over the master file.

What was built

Nine Signals built a self-hosted n8n workflow running in Docker.

The workflow pulled, grouped, and totalled expenses from existing folders while preserving the team's process and keeping sensitive files under tighter control.

How the workflow worked

2. The workflow read budget information from approved folders.
3. Expenses were grouped and totalled automatically.
4. Outputs were prepared for leadership review.
